New 'Distribute' Feature for Administrative Users (Available for Head Office Admins in 3-Tier Portals)

We are excited to introduce a highly requested and powerful capability for Head Office Admins to efficiently and securely Distribute documents across/to different Client Vaults and Sub-Portals.

With the new Distribute feature, Head Office Admins can now copy and/or move files from the Corporate Vault or Advisor Vaults to specific Client Vault locations. This new capability is a time-saving feature that streamlines overall file distribution management while eliminating the need to download and then reupload files into separate folder locations within the Vault.

How to Use the Distribute Feature:

  • Select files: Choose one or multiple files from your Corporate Vault or an Advisor Vault location.
  • Right-click: Right-click on the selected file(s), then select 'Distribute' under the Actions available.
  • Choose your Distribute action:
    • Copy to Other Vault: Use this action to create a copy of the selected file(s). A new document (file) will be uploaded into the Vault location you determine with the original files remaining where the currently live. Document audit trails will reflect this action in real-time.
    • Move to Other Vault: Use this action to move documents to a new Vault location from the current location.

Distribute Options - Copy & Move to Other Vault

  • Select Vault Destination:
    • Step 1 - Portal Selection: Select the portal where the target Vault is located (available for 3-tier portals).
    • Step 2 - Vault Selection: Select the Client Vault you would like to copy/move documents to.
    • Step 3 - Folder Location: Choose the folder location or create a new folder for the documents you will be moving/copying. Please note that users cannot upload to Level 1 (Parent) folders.

  • Email Notification: If desired, check the 'Send Email Notification' box to trigger an automated email notification.
  • Distribute: Once you're ready to officially copy and move the selected documents, select 'Distribute' to complete the action. Once completed, a success message will confirm the operation.

Note: If the end-user (client) is inactive or their email notifications are set to OFF, they will not receive any notifications.
