Create Vaults for Existing Contacts and Collaborators

Modified on: Mon, 2 Nov, 2026 at 4:13 PM

Create a vault for anyone already working with you as a Contact or Collaborator. One email can still own only one vault per portal, and the error message now tells you where to look.

It's now easier to create a vault for someone who is already part of your FutureVault community.

Administrators and Representatives can create a vault for a person whose email address is already used as a Contact, Collaborator or Co-owner. FutureVault now separates a person's identity (their email address) from their role (Vault Owner, Co-owner, Collaborator or Contact), so the same person can take part in several ways.

Why This Matters (Benefits)

Many people first interact with FutureVault as a Collaborator or Contact before they get their own vault. As those relationships grow, your team can now create the vault right away, with no cleanup and no need for a different email address.

  • Fewer blocked vault creations: An existing Contact, Collaborator or Co-owner role no longer prevents a new vault from being created.

  • Relationships stay intact: Existing Contact, Collaborator and Co-owner relationships keep working after the person receives their own vault.

  • Order doesn't matter: Roles can be assigned in any order (for example, Contact first and Vault Owner later, or the reverse) with the same result.

  • Clearer guidance: When a vault already exists for an email, the message now tells you where to find it.

What Problem It Solves

Previously, if an email address already existed as a Contact or Collaborator, creating a vault for that person could fail with an error. Users had to remove the existing relationship or use a different email address before a vault could be created.

Now, the only rule that applies is that an email address can own only one vault within the same portal. All other roles are allowed.

What's New

What You Can Now Do

The same email address can now:

  • Own a vault and also be a Collaborator on other vaults.

  • Own a vault and also be a Co-owner on other vaults.

  • Be a Contact and later receive their own vault.

  • Move between Collaborator and Contact roles.

  • Own a vault in more than one portal.

What Is Still Blocked

A second vault can't be created for an email address that already owns a vault in the same portal.

Clearer Messages When a Vault Already Exists

If you try to create a vault for an email that already owns one in the portal, you'll see a message explaining where the existing vault might be:

  • A vault already exists for this email in this portal. If you can't find it, disable "Hide Inactive" to view inactive vaults, or contact support.
